User Management

Introduction

This document provides a comprehensive guide for managing users in the platform. It covers essential operations including adding new users, editing user information, deleting users, and using filters to find specific users. The documentation also details the role-based access control system across ACE, AI Studio, and Adaptive Studio products.

Accessing User Management

To access the user management interface:

1. Navigate to the left side navigation bar
2. Click on "User Management"
3. The user management interface will load, displaying the list of existing users

Note: Access to User Management is restricted to Super Admin and Administrator roles only.

Adding a New User

To add a new user to the system:

1. In the user management interface, locate the "Add new user" button in the top-right corner
2. Click the button to open the "Add a new user" popup

User Information

In the first tab of the popup, provide the following user information:

• First name
• Last name
• Email address (cannot be changed later)
• Select the group(s) to add the user to

User Roles and Permissions

Switch to the "User Roles and Permissions" tab to configure access levels:

• Super Admin Toggle: Toggle the switch to enable/disable Super Admin status
  • When enabled, the user has full access to all products
  • When disabled, you can configure product-specific roles
• Product-Specific Roles: When Super Admin is disabled, you can assign specific roles for each product:

No Access	No permissions for the product

Role-Based Limitations

Each role comes with specific limitations:

Creating the User

After completing all required fields:

1. Click the "Add" button
2. A loading indicator will appear
3. Upon successful creation, you'll receive a "User added successfully" notification
4. A popup will display with:
   • A warning message: "Make sure to copy the password now. You will not be able to see it again."
   • Confirmation that login instructions have been sent to the user's email
   • User credentials including the email and temporary password
5. Use the copy button to save these credentials
6. Click "Done" to complete the process

Editing a User

To modify an existing user's information:

1. Find the user in the user management interface
2. Click the "Edit" option for that user
3. In the edit popup, you can modify:
   • First name
   • Last name
   • Group membership (add or remove)
   • User roles and permissions

     Note: The email address cannot be changed after user creation

4. Save your changes

Deleting a User

To remove a user from the system:

1. Find the user in the user management interface
2. Click the "Delete" option for that user
3. A confirmation popup will appear with:
   • Warning message: "Are you sure you want to delete the following user permanently? This action cannot be undone."
   • User details including email and username
4. Confirm deletion by clicking the "Delete" button
5. A loading indicator will appear
6. Upon successful deletion, you'll receive a "User deleted successfully" notification

Finding Users

The user management interface provides tools to help you locate specific users:

Filtering by Role

Use the role filter dropdown to show only users with specific roles:

• All Users
• Super Admin
• Administrator
• Manager
• User
• No Access

Searching by Name

Use the search field to find users by name:

1. Type the user's name in the search box
2. The list will automatically filter to show matching results
